1. Purpose

This Privacy Policy explains how Clasp collects, uses, stores, and protects information when Customers and Users access the Service. This Policy is part of the Clasp Master Services Agreement (MSA).

2. Information We Collect

2.1 Customer Data

Documents, files, case materials, and other content uploaded or transmitted by Users.

2.2 Account Data

Names, email addresses, authentication information, and other data required to create and maintain accounts.

2.3 Usage Data

Metadata, system logs, timestamps, and information about interactions with the Service.

2.4 OCR Outputs

Text extracted from documents using OCR for indexing and search.

2.5 Embeddings and Metadata

Derived representations used to support search relevance and document organization.

2.6 E-Signature Artifacts

Signature events, timestamps, and related metadata.

3. How We Use Information

Clasp uses collected information to:

  • provide and maintain the Service;

  • authenticate Users;

  • perform OCR and metadata processing;

  • support search and retrieval;

  • deliver notifications;

  • process billing;

  • maintain security and integrity;

  • troubleshoot and improve the Service.

Clasp does not use Customer Data for marketing, analytics, or training external AI systems.

4. How We Share Information

Clasp shares information only with subprocessors necessary to operate the Service. These subprocessors are listed in Appendix H of the MSA.

Clasp does not sell personal information.

5. AI-Assisted Functionality

Clasp uses metadata-only AI to support search relevance and document organization. Clasp does not transmit document text or Customer Data to external large language models.

6. Security

Clasp implements:

  • encryption in transit and at rest;

  • access controls;

  • secrets management;

  • incident response procedures.

Security practices are described in Appendix B of the MSA.

7. Customer Responsibilities

Customers must:

  • maintain secure credentials;

  • protect email accounts used for authentication;

  • classify and manage data appropriately;

  • use supported browsers and secure devices and networks;

  • comply with the Acceptable Use Policy.

8. Data Retention

Clasp retains:

  • account data for the duration of the subscription;

  • OCR outputs and embeddings as part of search functionality;

  • logs and metadata for security and operational purposes.

Data may be deleted upon account closure or as required by law.

9. Rights and Choices

Users may manage cookie preferences through browser settings. Clasp does not use Customer Data for behavioral advertising.

10. Updates

Clasp may update this Policy at any time. Continued use of the Service constitutes acceptance of the updated Privacy Policy.
